5.0    STANDARDS

5.1    General Standards

    A top-level map of all common areas will be provided at each building site.  Additionally, all areas are subject to the following standards.

    • The location of all relevant supplies must be posted.
    • Focals and backups (if any) must be posted.
    • Where appropriate, labeling and/or outlining will be practiced.
    • Regular PDCA cycles will be established.
    • Common signage will be utilized to the extent practicable.The work area (building) maps, and fileserver information will be published in the Ops Tech phone directory.

5.2    Office / Personal Areas

    5S begins with control of our individual workstations.  Guidelines for these personal areas are simple:

    • Display area maps at the entrance to each office area, identifying and locating the common areas.  (See Appendix D.)
    • Redbooks will be complete and visible.  (See Appendix E.)
    • Binders should be labeled; and binders and reference books will be stored vertically.
    • Notebooks and the contents of drawers and cabinets will be labeled to allow access to information in our absence.
    • Signs for various types of absences will be standard practice.
    • Employee "nameplates" should be in plain sight.
    • Desks, cabinet tops, and bookshelves will be free of permanent paper stacks and parts.
    • The workspace must not be primarily devoted to personal items and awards.
    • Area 5S Communication Boards will be employed and maintained.

5.3    Common Area Standards

5.3.1 Common Area Focals.

    Each of the Ops Tech sites has assigned focals for thevarious common areas subject to these standards.  Common area focals willbe expected to collect "lessons learned" and identify best practices, and disseminate such knowledge to other focals/areas.  Focal listings are maintained by the Implementation Team.

5.3.2 Laboratory Areas. 

    Lab office areas and work areas are included in the following requirements.  (See Appendix F.)

    • Safety requirements must be posted at the lab entrance
    • Comprehensive 5S notebook (lab Redbook), containing agreements, inventory, certification requirements, etc.
    • Lockers and shelves must be labeled with the owner's name
    • Cabinets must be labeled to show contents
    • Equipment labeling and outlining, as necessaryLab work areas will be subject to the following additional requirements.
    • Unique computers identified and accompanied by appropriate documentation
    • Parts neatly stored in designated areas
    • Regular use of TIP (Test in Progress) sheetsoShadow boards for general-use tools
    • Lab Station with:
      • Users' general rules, safety rules and Sweeping agreements
      • Equipment usage rules, certification requirements, and a 'Certified User List,' as necessary
      • Lab map locating safety aids, telephones, and emergency exits; and identifying lab custodian, lab manager, and safety requirements by area.

5.3.3 Conference Rooms. 

    Conference rooms need to be comprehensively prepared: a broad range of supplies is necessary, room layout needs to be prescribed, and access to associated resources (e.g., copiers) needs to be explained.  The equipment and tools required to maintain this readiness is listed below.  (See Appendix G.)

    A. Required equipment

    • Overhead projector(s), screen(s), and projector table.  The projector(s) best location will be marked, as appropriate, and have markings showing the proper placement of view foils.
    • Easel and paperoWhiteboard (optional)
    • Supply cubby (located near the projector), containing:
    • View foil material-Writing utensils, including fine point/very fine point foil markers, paper markers, a supply of pens/pencils, and whiteboard markers (if needed).
    • Wall "stickware," including scotch and masking tape, and pushpins or magnets.
    • Housekeeping goods, including paper towels, glass cleaner, save-a-tree box and waste basket.
    • Clock

    B. Information

    Each conference room will display the following charts.

    • Layout standard
    • User standards
    • Sweeping checklist
    • Focal point and scheduling information
    • Location map

5.3.4 Stationery Areas. 

    Stationery supplies should have their own cabinet, i.e., not share space with copier supplies, cleaning gear, etc.  The cabinets must be accessible in one common area, and open to everyone during working hours.  (See Appendix H.)

    Resupply methodology will follow the Kanban system, and be arranged by area focals.

5.3.5 Computer Areas. 

    All common computer areas are subject to the following requirements.

    A. Hold / lost and found

    An area will be set aside for the accumulation of personal items and work debris.  This area will be furnished with floppy disks for the temporary safekeeping of [apparently] unsaved files.  The area will be swept weekly by the affected focal.

    B. Area information board or book (see Appendix I)Area information will include:

    • An area map (see F, below)
    • Help information
    • Users' standards
    • Area guidelines for specific needs
    • Sweeping checklist
    • Documentation location

    C. Standardization

    • Computer areas will be subjected to the development of the following standards.
    • Hardware
    • Common version and simultaneous upgrades of software
    • Any necessary tip sheets
    • Keyboard mapping

    D. Problem resolution process description and checklist

    E. Information systemsInformation systems will be standardized with respect to data   files (TBD).

    F. Area maps [will include]:

    • Hardware and supply locations and focals
    • Software and hardware listings/locations (by specific computer)
    • Printer locations
    • File server(s) access path

5.3.6 Copier/Fax Areas.

    A. Copier area guidelines

    Although copier functions and operations vary, generic 5S housekeeping guidelines will be established and an area map posted.  (See Appendix J.)

    B. FAX area guidelinesApply general housekeeping principles and autodial list.  (See Appendix K.)

5.3.7 Coffee Areas. 

    Apply general housekeeping principles.  Each coffee area will post user standards, how-to information for making coffee, payment agreements, and user information for other appliances (e.g., refrigerators).  The coffee area focal will establish a mechanism for funding coffee supplies.  (See Appendix L.)
